This information is required for the sole objective of fulfilling the purpose for which you have consented, ie for podiatry treatment as required by law.
This information will only be retained as long as necessary for the fulfilment of this purpose. In the case of Medical Notes, 7 years from the date of the last visit subject to the rules regarding minors and those with Mental Health issues, where they are retained for a longer period.
Any correspondence to a third party, such as your GP, will not be sent without your consent.
Any information gathered from you will not be used for any marketing purpose without your written consent.
Photographs taken in the course of your treatment will only be used to educate others in the field of Podiatry, Chiropody or Foot Health, or to identify changes in areas of concern and only with your written consent.
All telephone bookings for appointments made through the clinic, will either be answered in house, or by a remote reception team at Real Time Reception (www.realtimereception.co.uk). Real Time Reception Ltd. will not use or share your personal data. All calls through them are recorded and that recording is stored for 3 months and then deleted. All stored information is password protected.
Payments made using the Worldpay card terminal are compliant with the requirements of PCI DSS and all payment slips secured on the premises in a locked cabinet without any identification to the user.
Enquiries made to the website of Red Roof Clinic will be deleted as soon as they have been actioned. It is, however, necessary to delete any cookies on your machine to avoid any data breaches. Please see the information about Cookies at the end of this policy.
Where information is passed via the mobile phone network, steps to protect that information is taken seriously and is password protected. Any non-relevant messages are deleted as soon as they are dealt with. Your mobile phone number will not be passed to a third party, nor will it be used for any marketing purposes.
You may be informed of appointments booked via the mobile phone network if your number is on record.
Real Time Reception (RTR), answers call on behalf of clients and sends messages by text or email containing information on patients/customers. Further, RTR create appointments for customers with specific customer information in cloud based diaries either controlled or owned by their clients.
There are several parties involved in the customer/RTR process: receptionists; telecoms provider; software provider; your calendar provided, and sometime s merchant account software. Emails regarding customers are also subject to GDPR.
Real Time Receptions Ltd do not share or sell any data regarding clients or customers with any other party.
All staff at RTR sign a confidentiality document at the start of their employment and are trained in the importance of confidentiality to customers and clients alike.

Practice Pal Practice Management Software is provided by Astute Data Systems and registered with the ICO – number ZA063574.
Practice Pal take security seriously and information they hold about you is stored on password protected software. It can only be accessed by staff who have been trained and require access, i.e. support, technical development and administrative staff. Each staff member has their own login credentials. Practice Pal do not share this information with any third party and they do not keep information on past customers or about people who ask us to delete data they hold on them.
